Operational knowledge, governance and transition assurance

Turn operational knowledge into enterprise intelligence.

Capture operational expertise. Govern procedures. Train teams. Assure transitions. Manage compliance evidence. Build meaningful reports. Preserve institutional knowledge — as one connected platform, not six separate tools.

Pre-launch, stated plainly. The capabilities on this site are built and tested in our code unless marked otherwise. None is in production customer use yet; we are looking for the first pilot organisations.

The problem

Most operational knowledge lives in people, not in systems.

Organisations run on procedures that a few experienced people carry in their heads. It works until someone moves on, a site drifts, or an auditor asks for evidence. The cost is real; we will not invent a number for it.

From one recording to an executive report

Six records, each built on the one before.

Read down the page and watch the record build. The point is not six features; it is that each one is evidence for the next.

Fictional records. An illustration of how the platform connects, not a screenshot.

  1. 01 · Capture

It starts with the work itself.

An experienced person records one real run of a process and narrates the judgement calls. The recording is the source every later record points back to.

  2. 02 · Govern

The recording becomes one approved procedure.

A draft is proposed and traced to the recording; its owner corrects, attests and approves it. Only that revision is published, and it supersedes the last one everywhere.

  3. 03 · Train

    People learn exactly that revision.

Training is assigned on the published revision, assessed, and verified in person. A certificate names the revision, so 'trained' always means trained on what is in use.

  4. 04 · Transition

A handover is proved, not assumed.

When someone moves on, a transition case lists their responsibilities. Each is demonstrated by the successor, and an independent manager signs off — never early.

  5. 05 · Comply

Those records are the compliance evidence.

Evidence for the obligation the process serves names its sources: the procedure revision, the training, the sign-off. An auditor follows each one to its record instead of reconstructing it.

  6. 06 · Report

And the report is drawn from the record.

A manager asks a question in plain words; the report is built only from records they may see, and every figure shows where it came from. Today that covers procedures, reviews, publications, training and evidence coverage. Reporting on transitions and compliance is the next step, and is not built yet.

One system, six steps

Each step produces a record the next step relies on.

That is the difference between a platform and a set of features: what you capture becomes what you govern, what you govern is what people train on, and all of it is the evidence a handover, an audit or a report is built from.

01 · Capture & Understand

Start from how the work is really done.

An expert records the task as they perform it, writes it down, or attaches the screenshots they already use. The narration is transcribed, and frames are drawn from the recording, so every later step can point back to its source.

The record
A source recording, its transcript and frames, held as governed media; restricted originals never leave it.
Who decides
The expert chooses what to capture. Nothing is recorded covertly; recording is always visible.

“Built and tested” means the capability exists in our code and passes its automated tests. It does not mean it is in production: no capability is in customer use yet, and we are looking for the first pilot organisations.

One scenario, end to end

An experienced lead is leaving a critical process. Follow her knowledge.

Eight steps at a fictional company, Northbridge Facility Services. The chips under each step show how far each capability it uses is built today.

Handover scenario: step 1 of 8, Asha records the month-end reconciliation she has run for six years.

  1. Asha records the month-end reconciliation she has run for six years.

Asha Rao, finance operations lead, is moving to a new role in four weeks. She records the supplier reconciliation as she does it, narrating the judgement calls that live only in her head.

  2. The recording becomes a draft procedure, every step traced to its source.

A draft of eleven steps is proposed from the transcript and frames. Each step links back to the moment in the recording it came from, and anything inferred rather than observed is marked.

  5. A transition case makes the handover explicit.

  7. The control owner sees the evidence, not a promise.

The monthly reconciliation is a registered obligation. Its evidence is the approved revision, Daniel's verified training and the signed-off case. When a deadline needs an exception, a second person decides it.

Two more scenarios

The same chain, other problems.

Multi-site facilities operation (fictional)

One standard across forty sites

  1. A head of operations approves one cleaning-validation procedure as the standard.
  2. Every site receives the same approved revision, in the languages its people work in.
  3. Supervisors verify the procedure at the point of work through a site QR code.
  4. A revision supersedes the old version at every site at once, and lists who trained on it.
  5. A dashboard shows procedure currency and training status by location.

Regulated administrative office (fictional)

Evidence before the auditor asks

  1. A compliance lead registers the obligations the office is accountable for.
  2. Each obligation is scheduled on a calendar with an owner.
  3. Evidence is recorded against it: the approved procedure, the training, the review.
  4. An exception is requested by one person and decided by another.

How it behaves

Four principles we design against.

  1. 01AI proposes. People decide.A model may draft or suggest; approval, publication and sign-off are always a named person's act.
  2. 02No surveillance, no scoring.Recording points at the work, not at a person's day. Nobody is ranked on productivity, and transitions store no rating.
  3. 03Fail closed. When identity, access, media or evidence is uncertain, the answer is no — with the reason in words.
  4. 04Evidence over claims.Every decision leaves a record. This website follows the same rule: it says what is built, what is not, and what is proven.
